General Information for Participants

1.Reception & Cloak

On-site registration. certificate issuing, cloak and other general inquiries are available during the following hours at the venue.

2. On-site Registration

  • Academic: 70,000 JPY
  • Student: 35,000 JPY
  • Industry: 100,000 JPY
  • Banquet: Ticket for Accompanied Person(s) 10,000 JPY

Payment in Japanese yen in cash or credit card are acceptable.

3. Welcome Reception

Welcome Reception will be held at the venue from 18:00 on September 15, 2019.

4. Beer Party

Beer Party will be held at “Sapporo beer garden” from 19:00 on September 16, 2019.

Sapporo Beer Garden will serve a dish called “Genghis Khan,” with lamb, mutton and vegetable-based ingredients. Details with a video clip are available on their website at:

5. Conference Dinner

Conference Dinner will be held at Keio Plaza Hotel Sapporo on September 17, 2019.

6. Exhibition

Exhibition will be held at 1st. Floor.

Instruction for Chairs

1. Arrival

Chairpersons are requested to be seated at the next chairs' sheet located in the right front of the hall no later than 10 minutes before the start of the presentations.

2. Session Progress

Chairpersons are asked to ensure that all presentations start and finish punctually as scheduled. Staffs will assist with timing. Remaining time will be notified with bell as follows;

  • 1 bell: at 3 minutes left to the end of talk
  • 2 bell: time for discussion
  • 3 bell: End of discussion

Instruction for Oral Presenters

1. Time Allocation

  • Keynote Lectures:
    Presentation 40 min. + Discussion 5 min. (Total: 45min.)
  • Invited Lectures:
    Presentation 20 min. + Discussion 5 min. (Total: 25min.)
  • Oral Presentations:
    Presentation 12 min. + Discussion 3 min. (Total: 15min.)

2. Presentation Materials

The presentation room (Lecture Hall on the 2nd floor) is equipped with a screen and an LCD projector. Preferable screen ratio (slide format) is 4: 3.

  • We strongly recommend you to bring a laptop computer, preferably installed with Microsoft Power Point. Link your own laptop to the provided projector.
  • Please ensure that you have the requisite connector with you. Connection using a VGA (DE15 connector pinout) cable or an HDMI cable is available.
  • We strongly recommend you to bring a laptop computer, preferably installed with Microsoft Power Point. Link your own laptop to the provided projector.
  • Try to review how your slides are displayed on the screen, prior to your presentation at early morning, coffee break and lunch time.
  • We prepare a backup laptop. So, it is possible to insert your USB flash drive into our backup laptop, just in case. However, we are not responsible for the reproducibility of your file.

<Technical Requirements for Your Laptop Computer>

  • Be sure to bring an AC adaptor. Please note that voltage in Japan is 100 V and the frequency ranges 50-60 Hz depending on the area (50 Hz in Sapporo).
    The socket is type A, which has two flat plug holes. If your laptop is not convertible,transformers and/or plug adaptors are necessary.
  • Adjust the settings to prevent activation of the screen saver of power-saving mode.

3. Timing

In order to maintain the schedule, you are requested to keep time allocation strictly.
Remaining time will be notified with bell as follows;

  • 1 bell: at 3 minutes left to the end of talk
  • 2 bell: time for discussion
  • 3 bell: End of discussion

Instruction for Poster Presenters

1. Set-up/Removal

* Any posters remaining on panels after the removal time will be discarded by the secretariat.

2. Poster Presentations

  • Odd numbers: September 16, Monday 16:30-17:15(45min.)
  • Even numbers: September 16, Monday 17:15-18:00(45min.)
  • During the allocated time, presenting authors must be available at their posters for questions and discussion.

3. Dimension

Dimension of the useable work area are 150cm high by 90cm wide.
